Russian City Breaks School Tours Booking Conditions (referred to below as "RCB")

Please note that these Booking Conditions apply to all of our tours taking place between 01 January 2010 and 31 December 2010. It is important that you read all of the Booking Conditions carefully.

£200 deposit

Upon application for your tour you are required to pay a £200 deposit. This includes a £75 non-refundable fee which we use to reserve your flights. Your £200 deposit must be sent together with your Application Form.

 

What is included in the Tour Cost?

  • Russian visa fee
  • Russian visa invitation and full support
  • Airport transfers from arrival airport to hotel and from final destination hotel to departure airport
  • Transportation between cities on itinerary
  • Transportation to all scheduled activities on itinerary
  • Accommodation in twin or triple rooms. All accommodation will have private facilities, except when travelling by night trains. Accommodation details will be provided at the outset
  • All breakfasts and dinners provided on a daily basis unless otherwise specified at the outset
  • All sightseeing tours led by expert local guides as on itinerary
  • All entrance fees to attractions listed on the itinera
   

What is not included?

  • Round trip airfare and airport fees and taxes
  • Personal travel insurance (baggage/medical/tour cancellation/interruption)
  • UK airport transfers, unless requested at the outset
  • Single room supplements
  • Lunches, unless specified on the itinerary
  • All meal time drinks, except water
  • Tips for local sightseeing guides and drivers
  • Unforeseen expenses due to last minute airline re-scheduling or delays
  • Passport costs
  • Local public transportation to unscheduled free time activities
  • Porterage (this can be included if requested at the outset)

Signing Up

Complete the Application Form and send this, together with your first payment of £200 by way of a personal cheque made payable to "The City Break Company Ltd", to RCB's head office at the address indicated at the end of these Terms and Conditions. This should be done as soon as possible and in any event not later than the date indicated on your Tour Summary.
Acceptance of late Application Forms will be subject to tour group size, and the availability of flights and hotels.

Payment Schedule

Once your Application Form and first payment have been processed and accepted, one more payment will be required from you. This payment is the balance of the whole Tour Cost and must be paid in full at least 90 days prior to the departure date. If this date is missed then you will be charged a A?75 late Payment Fee. You will receive details of amounts to be paid and the dates by which they must be paid.
IMPORTANT! If any sums owing to RCB are not paid in full not less than 60 days prior to the departure date, your reservation will be cancelled and such cancellation shall be subject to RCB's standard cancellation policy.

Late Applicants

If a late Application Form is accepted by RCB, you will be charged a late Application Fee of £75. RCB does not guarantee that you will be placed on the same flights or in the same hotel as the tour group. Full payment for the tour will be required from you upon acceptance of the Application Form and you will also be responsible for any additional tour costs which may be necessary. No Application Forms will be accepted less than 15 days prior to the departure date.

Cancellation Policy

RCB shall make the appropriate reservations for each Participant. In the event you cancel, you must notify RCB in writing. You will be responsible for any costs which RCB incurs. The written notice of cancellation must be provided by the Participant, or in the case of a minor, by the parents or legal guardian.
Please send cancellation notices to RCB's head office by post, fax or e-mail. RCB's contact details are found at the end of these Terms and Conditions.

The following cancellation policy applies:

90 - 31 days £75 deposit and 50% of total tour cost

The number of days set out in the table above is calculated from the date of receipt by RCB of your cancellation notice.
No refunds are provided for meals, accommodation, transportation and activities missed by Participants for reasons of absence once the tour has started.
RCB may at its absolute discretion, at any time, including during the tour, refuse to carry any Participant whose conduct or manner causes, or is likely to cause, offence or upset to other Participants, and RCB's cancellation policy shall apply.

Further Tour Customisation

Accommodation

If you wish to stay in single rooms or have any other special requests in respect of accommodation, you must make such request in writing at the time of your application. You will be responsible for any extra cost of the accommodation which will vary depending upon the tour. Details of the extra costs of single rooms or other special requests will be provided to you at the outset.

Alternate departure/arrival airports

If you wish to travel from alternative departure gateways you must notify RCB in writing at the time of your application. RCB will endeavour to make the necessary arrangements but there will be an additional charge of £75 plus any extra cost of the airfare which you must pay not less than 90 days before the departure date. The additional charge £75 is subject to change and should be checked by you before making such requests.

Purchasing your own Airline Tickets

Participants must fly with the group unless under exceptional circumstances, and under full agreement from your Group Leaders. RCB will not be responsible for Participants who arrange their own travel until they join the tour at the first hotel. If Participants wish to make their own travel arrangements, they must notify RCB in writing by post, fax or e-mail at the time of their application.

Extending your stay

If you wish to spend more time at the destination either before or after the tour period, you must notify RCB in writing at the time of your application. RCB will endeavour to make the necessary arrangements but there will be an additional charge of £75 plus any extra cost of making the arrangements which you must pay not less than 90 days before the departure date. The additional charge of £75 is subject to change and should be checked by you before making such requests. We will only consider such extensions under full agreement from your Group Leaders.

Other Information

Passports and Visas

You must have all appropriate documentation prior to the departure date. RCB does not obtain passports for Participants, but, in the case of group tours to Russia, RCB will obtain the necessary support letters for visas required for travel. It is the Participanta's responsibility to ensure that his/her passport is valid for the visa application. If any Participant is unable to obtain the appropriate documentation prior to the tour departure date then the Participant will not be allowed to join the tour. RCB's cancellation policy will apply.
IMPORTANT! You should contact the embassy or consulate of the destination countries as soon as possible to check the entry requirements. See your tour itinerary for the destination countries.

Insurance

RCB does not provide insurance cover for you. You are strongly advised to take out your own appropriate insurance cover for the tour such as, but not limited to, baggage, medical, tour cancellation and interruption cover.

Luggage

Participants are subject to each airline's luggage specification limits allowing for one suitcase and one small carry-on item. Any additional luggage will be allowed subject to the airlines excess luggage fees and to the agreement of RCB. The Participant will be liable for any additional costs required to be paid.
RCB shall not be responsible for any delay of, loss or damage to luggage and its contents.

Changes by Russian City Breaks

RCB shall be entitled to make changes to any aspect of the tour, at any time, including but not limited to its charges, the itinerary, departure dates, transportation, accommodation, groups to which a Participant is assigned, Group Leader. In the event of any such change, you will be notified and any cancellations by a Participant as a result shall be subject to RCB's cancellation policy and to these Terms and Conditions. RCB reserves the right to make changes despite special requests made by you.

Parties' liabilities

The RCB tour begins with the take-off of the flight from the United Kingdom and ends upon completion of the return flight to the United Kingdom unless the Participant has arranged his/her own travel, in which case the RCB tour begins upon the Participant joining the tour at the first hotel and ends upon arrival at the departure gate at the last destination country.
Except in respect of death or personal injury caused by the negligence of RCB, its agents, officers, representatives, and the Group Leader, RCB, its agents, officers, representatives and the Group Leader shall not be liable to the Participant by reason of any representation (unless fraudulent), or any implied warranty, condition or other term, or any duty at common law, or under the express terms of the agreement between the parties, for any indirect, special or consequential loss or damage, costs, expenses or other claims for compensation whatsoever which arise out of or in connection with this agreement.
The Participant acknowledges and agrees that the air carrier's liability for loss of or damage to baggage or property, or for death or injury to person is limited by their tariffs, or the Warsaw Convention, or both. Further, the air carriers assume no responsibility to any traveller save for their liability as common carriers.
The Participant agrees to comply with all local laws when abroad, including those concerning cigarettes, drugs and alcohol (and in the case of a minor, when such laws are not in conflict with parents' permission). Further, failure to so comply will entitle RCB to send the Participant back home and the Participant will lose the right to a refund of any part of the tour costs/fees and the Participant will be charged for being returned home. Further, should local authorities become involved, the Participant shall be subject to the laws of that country.
The Participant agrees to abide at all times by RCB's regulations, rules and instructions of the Group Leader or RCB's other employees. Failure to so abide will entitle RCB to send the Participant back home and the Participant will lose the right to a refund of any part of the tour costs/fees and the Participant will be charged for being returned home.
The Participant agrees that if he/she becomes ill or incapacitated during the tour, RCB may, without incurring any liability, take any action as it considers necessary under the circumstances, including obtaining medical treatment for the Participant and arranging transportation of the Participant to be returned home at the Participant's expense. RCB shall not be liable for the quality of medical treatment obtained for the Participant and he/she shall not be entitled to any form of refund.
The Participant shall be responsible for paying for all telephone calls or other incidental costs and expenses incurred by the Participant during the tour.
The Participant shall also be liable to pay for any damage caused by the Participant to any third party property during the tour including but not limited to hotel rooms, buses, trains, planes, cruise ships. The Participant shall indemnify RCB against any liability incurred by it which arises as a result of the Participants actions/omissions during the tour resulting in injury or damage to other persons or third party property.
RCB shall not be responsible for the Participant in the event the Participant absents himself/herself from RCB supervised activities e.g. the Participant visiting friends, family or during stay-ahead/stay-behind periods if such periods do not include RCB services.

Privacy Policy

RCB is committed to ensuring that your privacy is protected. This privacy policy explains how we use the information we collect about you, how you can instruct us if you prefer to limit the use of that information and procedures that we have in place to safeguard your privacy.
We collect basic information from you such as your name, postal address, telephone number, e-mail address, date of birth and credit card information.
The information we collect from you is to allow us to process your application and to make appropriate reservations for the purpose of the tour. We do not disclose your personal information to anyone else other than the hotels, airlines and additional service providers you will be using on the tour.
We may also use aggregate information and statistics for the purpose of helping us develop our services and we may provide such aggregate information to third parties. These statistics will not include information that can be used to identify an individual.
From time to time we may use your information for research and analysis purposes so that we can monitor and improve our services. We may wish to use your photograph to market RCB on our website or in future brochures. We or our representatives may contact you by post, e-mail or telephone to ask you for your feedback and comments on our services.
We may also wish to provide you with information about special features of our services or products, or related information from third parties about their services or products, we think may be of interest to you. If you would rather not receive this information, please write to RCB at the head office address by post, fax or e-mail.
Your information is always kept confidential. The internal procedures of RCB cover the storage, access and disclosure of your information.
If any of the information that you have provided to RCB changes, for example if you change your e-mail address, name or payment details please let us know the correct details by sending a letter to our head office.
By submitting your information you consent to the use of that information as set out in this policy. If we change our privacy policy we shall notify you accordingly by post or by e-mail.

General Provisions

Neither party shall be liable to the other for any default due to any Act of God, explosion, flood, tempest, fire or accident, war or threat of war, terrorist activities, sabotage, insurrection, civil disturbance or requisition, acts, restrictions, regulations, bye-laws, prohibitions or measures of any kind on the part of any governmental, parliamentary or local authority, import or export regulations or embargoes, strikes, lock-outs or other industrial actions or trade disputes (whether involving employees of RCB or of a third party) or other event beyond the reasonable control of either party.
The agreement between the parties and these Terms and Conditions contain the whole agreement between the parties in respect to all matters which are referred to and supersedes any prior written or oral agreement between them relating to it and the parties confirm that they have not entered into this agreement on the basis of any representations that are not expressly incorporated in this agreement.
The Participant acknowledges that, in entering into the agreement and agreeing to the Terms and Conditions, it does not do so in reliance on any representation, warranty or other provision except as expressly provided in this agreement, and any conditions, warranties or other terms implied by statute or common law are excluded from this agreement to the fullest extent permitted by law.
If any provision of these Terms and Conditions is held by any competent authority to be invalid or unenforceable in whole or in part the validity of the other provisions of these Terms and Conditions and the remainder of the provision in question shall not be affected.
The agreement and these Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales and each party agrees to submit to the non-exclusive jurisdiction of the Courts of England and Wales.
