Notes on our quotes

Our aim is to include as much as possible in our quotes so you can work out exactly how much money your students will need in Russia. There will be no hidden costs on tour - everything will be explained clearly beforehand. There are however some items we cannot include this far in advance, for example tickets for evening activities, such as ballet or opera performances, a traditional Russian Folklore show or sporting events such as ice hockey and football games as these are all dependent on schedules and ticket availability. We can also arrange circus tickets for your group if there is a performance during your visit. Nearer your departure time we will look at all the options for your group and inform you of ticket prices.

The only other items your students will need extra money for in Russia will be their lunches, snacks and any souvenirs they wish to buy. Tips (see below) are not included, but we suggest you collect this money in advance of departure.

Free Places

We normally include 1 free place for every 10 paying participants in our quotes. We can be flexible with this and include as many free places as you need, but the more free places there are, the higher the cost for each individual paying traveller.

Flights

We are an appointed retail agent for Delta Travel, ATOL 1022, who will research the most suitable flights for your dates and best prices available. We anticipate your flights to be in the region of £320-£380 per person. We use British Airways direct from London Heathrow and KLM and Lufthansa on indirect routes. Upon confirmation you will be invoiced separately by Delta, but all communication will be through us.

IMPORTANT: Airline taxes and fuel surchages

As your flights are booked some time in advance of departure it may be that the airline increases their taxes slightly for your journey. The taxes are only guaranteed once your tickets are issued. It is important to make everyone aware of this possible rise at the outset.

Overnight train

Carriages on the overnight train are made up of 9 compartments with 4 beds in each. Therefore if your group is larger than 36 people, you will be split between 2 carriages. Wherever possible we try to get adjacent carriages. If you do not have a group, which exactly fits a division of 4, we will automatically purchase the remaining seats in your compartment so that you are not sharing with strangers. The cost of this is included in your quote.

Supplement for escort on overnight train

Should you wish, we can provide an escort who will accompany you on your overnight train journey for peace of mind. The supplement for this will be a one off payment of £250. Please contact us for more information on this service.

Coach transportation

The maximum seating capacity on a coach is generally around 50 in Russia. Although not a local requirement, we only use coaches fitted with seatbelts for our and your peace of mind.

Rooming

Students will be roomed in twins, so even numbers of male and female students make the rooming a lot easier. Some hotels will add a rollaway bed into a twin to make up a triple, but some hotels refuse to do this and therefore students may have to go in singles. Please bear this in mind when signing people up for the trip! We will require a completed rooming list a month before departure.

Staff single room supplement

We will usually place staff in twins, unless the group configuration means that a staff member has to go in a single. We include this charge by default, but should staff placed in a twin choose to room in a single there will be a supplement of £45 per night. You should notify us of this requirement as early as possible so that we can guarantee availability.

Passports

Please ensure that all participants have a valid passport, which does not expire earlier than 6 months after the date of your return from Russia. You should encourage all travellers to check their passports and apply for a new one if necessary as soon as possible.

Visas

The consular fee for a Russian visa for UK citizens is £50. In addition to this, there is a service charge of £26.40 per visa application. These costs, together with the visa service fee, are included in your quote. It is not possible to apply for visas from the Embassy earlier than 90 days before departure. Our visa partner RuVisa ( www.ruvisa.co.uk ) will contact you nearer this time to send you the details required to begin the visa process. In order for them to obtain your group invitation, they will require a list of everybodyГЉВјs first and last names as in their passports, their dates of birth, passport numbers, expiry dates and citizenship. As RuVisa will be making your visa arrangements, you will be bound by their booking conditions. Although we do not charge a fee for a cancellation with replacement, there may be additional visa fees depending on the date of the cancellation. In the event of the Russian Embassy increasing the cost of Russian visas at any stage before your departure, we will have to pass this price increase on to our clients, so please make your travellers aware of this eventuality.

Travel Insurance

Every member of your group must be covered by a comprehensive travel insurance policy to include baggage, medical and tour cancellation and interruption. Please check your school’s travel insurance policy to make sure you and your group are fully covered. Should it be necessary to purchase such travel insurance, then this should be done as soon as your booking with us is confirmed. As we are not an insurance provider, please contact us for details of a company which can provide you with the necessary travel insurance required.

Further notes

Ballet tickets

We can secure ballet tickets for your group, but as theatres don’t release their playbills until 2 months before the performance, and often even less than that, we can’t include these in your quote. When we know what is playing during your visit to Russia we will inform you of the options.

Other evening activities

We can arrange visits to the Russian Circus, a traditional Russian Folklore Show and other events which happen to be on during your trip, for example sports matches. These tickets can be purchased up to 2 months in advance. You can also arrange directly with your local guide to go bowling or play pool and pay for these services on the spot.

Tipping guideline

We ask that you recognise the service you receive from your tour manager, local guides and drivers by tipping them appropriately. As an approximate guideline you should figure £0.50-£1.00 for your driver, £1-£2 for your guide and £2-£3 for your tour manager if you have one. All amounts are per person per day.
